Configuring Microsoft Mail For The Rutgers Network

Important Notice: This document was tested for accuracy and technical quality assurance using Microsoft Windows Vista. If your results do not match those here, please consult your department computer support person or contact your campus Help Desk for assistance in obtaining updates and patches for your computer. You can also update your computer by visiting http://windowsupdate.microsoft.com and http://officeupdate.microsoft.com. Please note you will need to use Internet Explorer to obtain the updates.

In establishing criteria for email reading software at Rutgers, the University Office of Information Technology (OIT) adopted two special security measures to help protect the University community using the Rutgers Network: first, encryption technology called Secure Sockets Layer (SSL) for all email, Telnet access, file transfers, and other file access; the second is SMTP authentication, often called SMTP "Auth" for short.

SSL encrypts and protects passwords and message contents from being intercepted while en route between a computer and an email server. The technology is similar to the type used by online retail outlets to protect credit card numbers and other personal information from electronic "eavesdropping" during transactions. So using SSL does not encrypt data while it resides on a computer, just while it is in transit.

SMTP Authentication allows email to be sent only when it is verified with a valid NetID and password. This feature prevents the Rutgers email systems from being used to send out viruses or junk email messages. Those who use Microsoft Mail to send e-mail on RCI and Eden are required to use smtp.rutgers.edu as the outgoing mail server.

OIT also strongly recommends Microsoft Mail be used with the IMAP software protocol for sending and receiving email. IMAP (Internet Message Access Protocol) permits "client" email programs to retrieve and manipulate messages from a desktop computer at home, a workstation at the office, or a laptop computer while traveling without the need to transfer messages or files back and forth between those computers as required by the older and less efficient POP protocol.

Configuring the mail program.

  1. Start Microsoft Mail.

From the Microsoft Mail main menu, select Tools and select Accounts.

  1. Click on Add and select email Account.

  1. The Account screen will appear. Enter your full name (e.g. John Smith). That name will be seen by email recipients in all the messages you send and click Next.

  1. After entering your name click on Next.
  1. Enter your email address. That address will be used in all mail messages.

    For students the email address has the format:

NetID @eden.rutgers.edu

For faculty/staff [RCI users] the e-mail address has the format:

NetID @rci.rutgers.edu

  1. After entering your email address, click on Next .
  2. Make sure the pull-down menu next to incoming mail server type is set to IMAP.

  1. Enter the following information in the appropriate boxes.
    • Incoming mail server:
          eden.rutgers.edu [for Eden users]
          rci.rutgers.edu [for RCI users]
    • Outgoing mail server:
          smtp.rutgers.edu
    • Check the box “Outgoing server requires authentication”

  1. Click on Next. *You will be prompted for your NetID and password*

  1. Though a Congratulations message should appear, you have not yet completed configuring Microsoft Mail for Rutgers email. Check the box next to Do not download my email and folders at this time and click Finish:.

11.  From the Microsoft Mail main menu, select Tools and select Accounts.

12.  Click on the newly created email account and click Properties on the right.

13.  Click on the Servers tab and under Outgoing Mail Server, check the box My server requires authentication.

14.   Click the Settings button to open up the Outgoing Mail Server dialog box.

Click the button next to Log on using.

Enter in your Rutgers NetID for the email username and click OK.

Note: OIT strongly recommends securing your e-mail account by NOT choosing to have Microsoft Mail store your password. Microsoft Mail will later open a dialog box in which you enter your password later, when you retrieve your mail from the server.

If you choose to save your password in Outlook Express, this will allow anyone who uses the same computer to read your email.

15. Click the Advanced tab.

16. Check the boxes next to This server requires a secure connection (SSL) for both the outgoing and incoming mail servers.

17. Click Apply to complete that part of the setup.

Note: Some Internet Service Providers (ISPs) allow SMTP traffic to move only though their own servers. In such cases you must use the ISP's SMTP server, and your ISP username and password, to send mail. Therefore, leave the box for This server requires a secure connection (SSL) unchecked for the outgoing server, unless your ISP gives you other instructions. Contact the technical support department of your ISP for assistance since the Rutgers Help Desks can only provide support for the Rutgers side of the connection.

18.  Restart Microsoft Mail to make certain the new settings have been saved.
