Configuring Outlook 2000 for Use on the Rutgers Network

 

Important Notice: This document was tested for accuracy and technical quality assurance using Microsoft Windows 98 Second Edition through XP Professional with Service Pack 2. If your results do not match those here, please consult your department computer support person or contact your campus Help Desk for assistance in obtaining updates and patches for your computer. In establishing criteria for e-mail reading software at Rutgers, the University Office of Information Technology (OIT) uses two special security measures to help protect the University community using the Rutgers Network: first, encryption technology called Secure Sockets Layer (SSL) for all e-mail, Telnet access, file transfers, and other file access; the second is SMTP authentication, often called SMTP "Auth" for short.
SSL encrypts and protects passwords and message contents from being intercepted while en route between a computer and an e-mail server. The technology is similar to the type used by online retail outlets to protect credit card numbers and other personal information from electronic "eavesdropping" during transactions. using SSL does not encrypt data while it resides on a computer, just while it is in transit. SMTP Auth verifies the authenticity of the e-mail source address (the "From" address) to prevent e-mail forgery. That allows mail systems to verify that any mail it is instructed to deliver is actually originating from a valid Rutgers user account.

OIT also strongly recommends Outlook 2000 be used with the IMAP software protocol for sending and receiving e-mail. IMAP (Internet Message Access Protocol) permits a "client" e-mail program like Outlook to retrieve and manipulate messages from a desktop computer at home, a workstation at the office, or a laptop computer while traveling without the need to transfer messages or files back and forth between those computers as required by the older and less efficient POP protocol.

Configuring Outlook 2000 for the Rutgers Network

  1. Click Start, then navigate to Programs and then select Microsoft Outlook to start the program.
  2. On the Tools menu, click Accounts then click the Mail tab.

  3. Click the Add button and the Internet Connection Wizard will start to guide you through setting up your e-mail account.
  4. In the From field enter your name as you want it to appear in all messages you send.

  5. Click Next to continue.
  6. Enter your full Rutgers e-mail address and click Next:

  7. On the E-mail Server Names screen, select the following options
    • My incoming mail server is an IMAP server.
    • Incoming mail server: rci.rutgers.edu
    • Outgoing mail server: smtp.rutgers.edu

  8. Click Next

     

  9. Click Next, then Finish to complete the initial setup. Now the SMTP Authentication must be set.

  • Navigate to Tools then choose Internet Accounts. In the Internet Accounts window, click on your Rutgers Account under the Mail tab then select Properties.

  • Click the Advanced tab and check that the boxes for This server requires a secure connection (SSL) is checked for both the Outgoing and Incoming mail servers. Make sure that the ports read 25 for Outgoing mail (SMTP) and 993 for Incoming Mail (IMAP):


  • Select the Servers tab. On this tab make sure the entry for the Outgoing Mail Server is set to smtp.rutgers.edu and that the My server requires authentication box is checked.

    Note: If you use RULink to relay your e-mail, leave the Outgoing Mail Server set as rulink.rutgers.edu.

  • Click the Settings box to open Outgoing Mail Server dialog box and use these settings:
    • Click the Log on using radio button
    • Enter your Rutgers NetID into the Account name: field
    • For the security of your Rutgers e-mail account, the OIT strongly encourages unchecking the Remember password box
    • Leave the Log on using Secure Password Authentication box unchecked
    Click OK

  • Click OK again to return to the Internet Accounts window, then Close the Internet Accounts window.

    Outlook 2000 is ready to use on the Rutgers Network.

    Note: Authorized users of departmental (on RCI) or organizational (on Eden) accounts should log into those e-mail accounts the same as before. However, when prompted for a user name and password to send e-mail messages, users will need to enter their personal RCI or Eden NetIDs and the case-sensitive password associated with each account. That is, they should not use the departmental or organizational account name (with its associated password) when sending e-mail.
